How Does Milestone XProtect Perform in Real Life?

To support informed decision-making in the security industry, Skills for Security – the UK’s leading fire and security training provider – carried out an independent evaluation of Milestone Systems’ XProtect Video Management Software (VMS). The assessment aimed not only to support apprentice training but also to guide security professionals and specifiers who need a practical understanding of how the platform performs under real-world conditions.

XProtect is a modular, open-platform VMS designed to give users comprehensive control of surveillance deployments across sectors such as healthcare, logistics, education, and critical infrastructure. From small businesses to multi-site enterprises, the system enables the integration of cameras, analytics, third-party devices, and systems—all through a unified management interface.

The review focused on how XProtect’s interface, device compatibility, and integration ecosystem support day-to-day operations. With increasing demand for scalable, open systems that play well with other technologies, this kind of hands-on assessment offers a valuable reference point for real-world applications.

The evaluation was led by Darrell Gilmour, Director of Technical Training at Skills for Security. During the webinar held on 20 June, Gilmour shared his findings alongside Simon Rolfe, Presales Manager for the UK and Ireland at Milestone Systems, who offered practical insights on system setup and deployment.

Flexible Camera Integration and Licensing

One of XProtect’s core strengths is its flexible, scalable architecture. Adding cameras is straightforward thanks to the auto-discovery wizard, which supports most major manufacturers. For devices that aren’t automatically recognised, manual setup is available—useful when integrating legacy equipment.

Milestone maintains an extensive library of device drivers and supports ONVIF, offering plug-and-play capability across a wide range of devices. As Simon Rolfe noted during the webinar, users can consult the Supported Devices to confirm compatibility and take full advantage of the system’s open platform. Users can also check the Tech Partners for additional integrations.

Licensing upgrades are also manageable. Once a new licence file is uploaded via the management client, a restart of the management server activates the new features—an easy step, though not immediately obvious without some guidance. Planning camera groups in advance is also recommended to streamline navigation in larger deployments.

Rolfe also introduced the Deployment Assistant, a new tool available through Milestone’s website. It’s designed to help users plan and document their video system layout, reducing the risk and complexity of installation. Automation, Rules, and User Profiles

XProtect’s rules engine is a powerful feature that allows users to automate responses to events, such as motion detection, tampering, or input from edge analytics. The setup interface is well supported by embedded help links and a step-by-step manager, but configuring more advanced rules does require a good understanding of IP video systems and cause-and-effect logic.

Equally valuable is the system’s ability to define user roles through Smart Client profiles. These can be tailored by task, team, or shift, enabling fine control over permissions and interface layouts. From limiting access to certain features to defining what footage can be exported, the user management tools offer depth and flexibility for organisations of any size.

Although the Arcules Plugin and cloud features weren’t covered in this evaluation, Milestone’s approach to scalability is clear. The platform supports seamless expansion without the need to replace existing infrastructure—a key benefit for organisations that anticipate growth or site acquisition.

The Skills for Security team also praised the Milestone Knowledge Base and its E-Learning for its well-structured layout and helpful documentation. From getting started to configuring advanced integrations, it offers strong support for both experienced users and those new to the platform.

Maps, Alarms, and Scalability

In practical terms, situational awareness is where XProtect really proves its value. The map feature allows operators to visualise the placement and coverage of cameras and associated devices in real time. Icons can be dragged onto site layouts, showing live status and helping operators respond more effectively.

Alarm configuration is similarly guided. Operators can link triggers—such as door events or analytic alerts—to automated responses, whether that’s moving a PTZ camera, closing a gate, or issuing a notification. As with other features, success depends on understanding the wider system architecture and planning accordingly.

XProtect’s ability to scale is a significant strength. The platform supports centralised management of multi-site operations and makes it easy to incorporate existing hardware, even from mixed-brand environments. For small businesses, the option to start with a low-cost licence and expand over time adds long-term value.

Conclusion

 XProtect delivers on its promise of being a versatile, powerful VMS that adapts to a range of security requirements. While some features demand technical understanding to unlock their full potential, the system offers a clear pathway for growth and integration.
